Contract Release Procedure

Students who are requesting to be released from their Residence Hall contract will be required to do the following:

1. Complete a Contract Release Request form which is available at the Residence Life office.

2. Provide appropriate documentation to support the reason to be released.

 

A committee will review your request; however, the committee will not consider your request unless supporting documentation is included.  The following are some examples of acceptable documentation for the reasons to be released from the Residence Life Housing Contract.

Medical

Letter from the doctor/hospital on company letterhead detailing the illness, how it affects the student in regards to living on campus, and the dates the illness was diagnosed.

Unanticipated financial hardship

This can occur for several reasons and is defined as an event that occurred between the time the contract was signed to the present and would cause living on campus to be a hardship to the student or student’s family.  Some acceptable forms of documentation would include:

If an illness in the immediate family occurs, then a letter on company letterhead from a doctor explaining the illness should be attached.

Student Teaching

Letter from professor on letterhead stating where the student will be teaching (must be 50 miles or more away from ASU-Jonesboro to be considered)

Withdrawal

Copy of signed withdrawal application form

Marriage

Copy of Marriage Certificate

Internship

Letter on company letterhead from immediate supervisor stating where the student will be working (must be 50 miles or more away from ASU-Jonesboro to be considered)

Transfer   

Letter of acceptance or copy of class schedule on school’s letterhead

Other

Detailed documentation supporting the reasons the student can no longer live on campus.

After the committee has reviewed your request, a letter will be mailed to you informing you of whether you have been granted or denied release from the Residence Life Housing Contract.                                                                     

If you are granted release, then your charges will stop on the day you check out of the Residence Hall. You must check out with your RA or Hall Director so they may review the conditions of your room and its contents.  You will also need to return your key at that time.

If you are denied release and you wish to appeal your case, you will need to call our office and set up a meeting with the Director of Residence Life. 

If your appeal is denied, then you will be responsible for room and board for the term of the contract even if you do not reside in the assigned room or participate in the assigned meal plan.
